Event Manager

Orlando Weekly is seeking an energetic, creative, and organized Event Manager to oversee and execute all aspects of all of our events and promotions, including Orlando Beer Festival, Tacos and Tequila, Bite30, Orlando Taco Week, and more.

The Event Manager will be a strong leader with experience in event management, and will work closely with the Orlando Weekly marketing manager and publisher, as well as Chava Communications’ Chief Marketing Officer, to bring our concepts to life, exceed the expectations of our guests and create world-class events and promotions for Central Florida!

The Event Manager will handle all aspects of the event: P&L management, sponsorships sales, execution and activation, vendor negotiations, selection and relations, venue selection and negotiations, staffing, layout and programming, setup, and teardown.

Responsibilities Include:

  • Planning, organizing, and executing high-impact cultural events that build community, drive revenue, and showcase local businesses and sponsors, while providing a world-class experience for attendees

  • Managing the budget, problem-solving/troubleshooting on the spot if necessary

  • Driving logistics and coordination of individual events large and small

  • Resolving issues with professionalism and patience in a timely manner

  • Working collaboratively with the marketing and sales teams to deliver great outcomes for attendees and sponsors

  • Management of local vendors to coordinate aspects of the events, including (not limited to) catering, decor, a/v, infrastructure (tents, restrooms, generators), and furniture/linen rental and cleaning

  • Building strong relationships with municipalities, local vendors, venues, and clients

  • Handle layout, timelines, staffing (hire/management) permitting, and licensing for events

  • Work with local charities to strengthen events

  • Alongside the marketing director, delivering communications and content using brand tone and voice that encourages engagement and participation in OW events and promotions

  • Selling sponsorships and local businesses into events and promotions

  • Managing the P&L and assuming total responsibility for both the experiential and financial success of all events and promotions

  • Sharing information across our company and working with our event teams in Tampa and San Antonio when necessary

  • Handling related projects as they might arise for Orlando Weekly, Chava Communications, and our clients

  • Collect and analyze data to help shape events

Requirements:

  • 2 - 3 years of work experience in hospitality or event management/planning

  • Self-starter who has both the ability to work independently and with remote team members on long-term projects and concepts

  • Ability to own projects from start to finish (including the fine details and multiple deadlines) and communicate with the OW/Chava team

  • Ability to build and maintain a budget (Profit & Loss Statement) for each project

  • Exceptional communication, organization, and follow-through. Ability to multi-task masterfully with competing priorities

  • Ability to connect well with people, being warm and approachable

  • Passion for delighting customers through events and promotions

  • Work well in deadline-driven projects

  • Highly flexible, and adaptable to change with the ability to pivot to new priorities and initiatives quickly

  • Sense of urgency, with a willingness to hustle and dive in wherever necessary to fulfill the needs of the project

  • Ability to hire, train, delegate, and manage teams at events

  • Reliable transportation, driver’s license with good driving record, and ability to lift 15-25 lbs during events/setup
